Projects

A project groups the items for one delivery, such as a client website or an internal rollout. Every project has a key (for example WEB) that numbers its items: WEB-1, WEB-2 …

Projects lists every project you can see, with client, lead, progress, deadline and status. Switch between Active, Completed (every item done) and Archived. A project’s tags show after its key; when any project has tags, All tags next to the tabs shows only the projects with one tag.

When a project came from a won deal in a CRM such as HubSpot or Attio, the client is a blue link to the company there, with that app’s icon in front and an external-link icon after it. It opens in a new tab. Renaming the client removes the link.

The Status column is worked out for you:

Status Means
On track The share of done items keeps up with the time used, and no item is past its deadline. Without a project deadline: no item is past its deadline
At risk Done items lag the time used by more than 20 percentage points, or an open item is past its deadline
Overdue The project’s deadline has passed
Not started The project has no items yet
Done Every item is done

Click New project, give it a name and key, and optionally a client and a template. See Your first project.

Each project has five tabs:

  • Board: the items as cards in columns. See Boards.
  • List: the items as rows with sub-items. See List and views.
  • Overview: progress, milestones, description, team and recent activity.
  • Files: everything uploaded to the project and its items. See Files.
  • Chat: the project’s group chat with its members. See Project chat.

The faces at the top right of Board and List are the project’s members. Click them to see everyone with the number of items they have. Click a person with items to show only their items, and click again to show everyone’s. People without items can’t be picked. Add people adds someone from the workspace, and the cross next to a name removes them. Members are also who is in the project chat.

The overview shows how many items are done and overdue, the deadline and status, the project’s milestones, its description, lead and team, and what happened recently. Click Add milestone to add the dates the project steers by. Each box has a header with an icon and its own action, such as Write or Edit on the description, and an empty box tells you what belongs there.

Right-click a project (or use its menu) to:

  • Edit project: name, lead, start date, deadline, client, value and currency, client contact and email, tags, color and description. Value and client contact show in the Client box on the overview.
  • Add to favorites: it shows under Favorites in the sidebar, where you can sort it and put it in a folder (see Favorites).
  • Archive project: it leaves the active list but keeps all its items, and its chat becomes read-only. Restore brings it back.

Creating and changing projects needs the Create and change projects permission. Deleting needs Delete projects.
