HubSpot
Connect HubSpot and a won deal can start a project in WORK³, and the project’s status is shown on the deal. Your contacts and client data stay in HubSpot. WORK³ works just as well without it.
Connect HubSpot
Section titled “Connect HubSpot”- Go to Settings → Integrations → HubSpot and click Connect HubSpot. You need the Connect integrations and rules permission.
- Sign in to HubSpot, choose the account to connect and allow WORK³.
WORK³ then reads your deal pipelines and adds two properties of its own on deals: WORK³ status and WORK³ project. It reads deals, companies, contacts and owners. It writes nothing else, except what workflow steps you build ask for: Update deal (stage, value) and Add note (see Workflows).
Choose the won stage
Section titled “Choose the won stage”Under Settings on the HubSpot page, choose the Stage that means won. WORK³ suggests the stage HubSpot marks as closed won. With more than one pipeline, each stage is shown with its pipeline, such as Sales · Closed won.
Tag the projects
Section titled “Tag the projects”Under Settings on the HubSpot page, pick Tags on new projects among the workspace’s tags. Every project created from a won deal gets them, so you can filter the projects page on, say, Sales. Add new tags under Settings → Labels first.
Start a project when a deal is won
Section titled “Start a project when a deal is won”Click New rule and choose Create a project when a deal is won. Pick a template if you like. When a deal reaches the won stage, or is created in it:
- a project is created with the deal’s name, and the deal’s company as client. The client links to the company in HubSpot, with the HubSpot icon;
- the project gets the deal’s amount and currency as its value, the close date as its start date, and the deal’s first contact as client contact;
- the deal owner leads the project, when they are a member of your workspace with the same email;
- the project links to the deal.
HubSpot apps connected before contacts were read need to be connected again (Reconnect) to get the client contact. Everything else works without it.
A deal only ever starts one project, even if it is moved out of won and back again.
Project status on the deal
Section titled “Project status on the deal”WORK³ status on the deal shows how the project is going, for example Active · 3 of 10 done, and WORK³ project holds the project’s link. They sit in the Deal information group: find them under View all properties on a deal, or add them to the deal’s About card and as columns in the deals list. They update as work is done. Changes made to them in HubSpot are overwritten.
Reconnect
Section titled “Reconnect”Reconnect signs in to HubSpot again, for new permissions or a lost sign-in. Settings and rules stay, and WORK³ revokes the old sign-in in HubSpot so it cannot be used again.
Disconnect
Section titled “Disconnect”Disconnect stops rules and status updates, and WORK³ signs out of your HubSpot account. Projects that were created stay, and so do the WORK³ properties in HubSpot with their values, which you can delete there.
