AI assistant settings

Under Settings → AI assistant you decide how the assistant works in your workspace. You need the Change workspace settings permission.

  • WORK³ AI credits (default). Uses credits that come with your plan.
  • Own API key. Your organisation pays the AI provider directly and no credits are used. Pick Anthropic or OpenAI, paste an API key and click Test key. WORK³ checks the key with the provider and lists the models it can use; pick one and click Save. For Anthropic, Recommended is the model WORK³ recommends and keeps up to date; it only picks the model, your own key is still used. For OpenAI, pick a chat model that can call tools, such as gpt-5. The key is encrypted and never shown again; you only see the provider and its last four characters. You can change the Model later from the same list without entering the key again. Remove key deletes it and switches back to WORK³ AI credits. Everything works the same on either provider: the same tools, cards for your OK, undo, recipes, AI as assignee and AI steps in workflows.
  • Off. Nobody can use the assistant.
  • Members and admins (default) or Admins only.
  • Guests can use it too is off by default.
  • Allow AI steps in workflows is on by default. AI steps in workflows run on the same source and cost workflow credits, not assistant credits (a test run uses the tester’s own credits). Turn it off and every AI step fails without sending anything to the AI. Their use shows under Usage as Workflows and Workflow tests.

Whoever uses it gets exactly the same access as in the app.

One credit is about one US cent of AI use. A short question usually uses 1–5 credits; a brief of a large project uses more.

  • Credits per person and month. Everyone gets this many on the 1st of every month. Unused credits do not carry over.
  • When someone runs out, let them use what others have not used. Off by default. When on, the workspace’s credits work as one shared pot.
  • Monthly limit for the whole workspace. Optional. The assistant stops for everyone when it is reached.
  • People see a warning when they have used 80% of their credits.
  • When a person runs out, members see Ask an admin; admins see Buy credits.

Buy credits shows packs of 1,000, 5,000 and 20,000 credits that never expire. Buying arrives together with billing; until then, contact us.

Click Save to apply changes.

  • Usage shows credits per day for the last 14 days and what they were used for (chat, briefs, Ctrl K, Home). Export CSV downloads the last 90 days per day, person and feature.
  • People shows what each person has used this month. Type a number under Limit to give someone more or fewer credits than the default; leave it empty to use the default.

Some things are the same for every workspace and are managed by NOD³, not in your settings:

  • The AI model that answers, also when you use your own key.
  • Whether WORK³ AI credits are available. If we have to pause them (for example during a provider outage), the assistant shows Not set up yet in workspaces on WORK³ AI credits. Workspaces with their own key keep working.
  • Extra credits. We can give your workspace extra credits, for a trial or as compensation. They never expire, add to what members get each month, and show in your audit log as a change by the platform.

NOD³ staff see how many credits each workspace uses, never your conversations. Our own assistant in the platform console works from the same overview: workspace names, plans, counts and costs. It cannot read anything inside your workspace, and no names or email addresses are sent to the AI provider.

  • Changes the assistant makes are made in the name of the person who approved them, and show in the audit log and in item history as via WORK³ AI. Filter the audit log on AI to see them.
  • Changes to these settings, keys and limits are in the audit log.
  • Admins see usage, not conversations. Conversations are visible only to the person who had them and are removed after 30 days.
